The Accounts & Office Administrator is responsible for managing financial processes and ensuring smooth day-to-day office operations. This role combines accounting duties with administrative tasks to support the efficiency and professionalism of Kooltech Refrigeration.

Key Responsibilities

· Management of company administration emails

· Processing of Supplier invoices and contractor invoices

· Allocation of customer payments

· Processing of Credit card payments and allocation

· Accounts Payable and Subcontractor Payments

· International transfer payments and Import duty credits

· Payroll, Superannuation, BAS, & Leave applications

· Management of Staff Reimbursements and Personal purchases repayments

· Reconciliation of Xero Bank accounts and credit card accounts

· Advanced Xero reporting experience required for comprehensive financial analysis

· Reconciliation of Simpro and Xero systems for accounts receivable statements

· Basic knowledge of Simpro software required for system integration tasks

· Management and reconciliation of cylinder rentals

· Reconciliation of outstanding purchase orders in Simpro

· Reconciliation of paid Work orders in Simpro/Xero

· Management of company insurance renewals and vehicle registrations

· Management of Etag , Linkt and Fleetcard accounts

· Scheduling of Vehicle maintenance bookings

· Assistance with setup of new customers & raising of new jobs

· General filing

· Minimum 3-5 years of accounts payable/receivable experience required

Qualifications

· Proven experience in accounts administration and office management

· Strong knowledge of accounting principles and payroll processes

· Basic payroll processing experience required for superannuation and leave management

· Proficiency in accounting software and MS Office Suite

· Excellent organizational and multitasking skills

· Strong communication and interpersonal abilities

· Attention to detail and problem-solving skills

· Understanding of retentions on Project jobs would be desirable
