Sales & Administrative Support Officer
(Pharmaceutical Contract Manufacturing)
We are seeking a highly organized and proactive Sales & Administrative Support Officer to join our growing pharmaceutical contract manufacturing business. This role is ideal for someone who thrives in a fast-paced, detail-driven environment and is passionate about delivering exceptional customer service while supporting critical operational processes.
Key Responsibilities
Respond promptly to all new business enquiries via email and phone, ensuring responses are within agreed timeframes
Prepare accurate and detailed product quotations for submission, with strong attention to compliance and technical detail
Source and negotiate pricing for materials and product components
Liaise closely with Account Managers to address customer queries and requirements
Monitor and manage workflows to ensure timely progression through to completion, including:
Purchase Orders and Work Orders
Product specifications and customer approvals
New Product Development (NPD) / R&D
Label change control and artwork updates
Deviations and complaints management in line with quality standards
Administer day-to-day sales account requirements
Coordinate with internal stakeholders including R&D, Procurement, QA, Production, Warehouse, and Logistics to ensure timely order fulfilment and delivery
Prepare and maintain accurate quotations, pricing, and sales records
Liaise with suppliers regarding updated price files and product information
Handle incoming customer calls and provide professional support
Manage administrative processes via Microsoft Teams, ensuring documentation (specifications, label control, deviations, complaints) is initiated and followed through to completion
Perform sales data entry and prepare reports for the Sales team
Organize and distribute incoming emails and enquiries efficiently
Provide general administrative and operational support to the Sales team
Assist with reception duties when required
Perform additional tasks as directed by the Sales Manager
About You
Strong organizational and time management skills, with the ability to meet deadlines
Excellent written and verbal communication skills
High attention to detail, particularly in documentation and compliance-related tasks
Ability to multitask and priorities effectively in a fast-paced environment
Proficient in Microsoft Office and collaboration tools (e.g., Microsoft Teams)
Customer-focused, proactive, and solutions-driven
Previous experience in sales support, administration, or within pharmaceutical, manufacturing, or regulated environments (highly regarded)
