The Construction Administration Assistant provides day-to-day administrative support to keep office and project operations running smoothly. This role is responsible for helping with coordinating schedules, managing communications, checking purchase orders and plans, preparing site documentation, supporting project tracking, and assisting with staff allocation and timesheet administration. The position plays a key role in maintaining efficient communication between the office, site managers, suppliers, clients, and site crews in a fast-paced construction environment. 

Key Responsibilities 

  • Manage the general inbox, incoming calls, and day-to-day office communications in a professional and timely manner. 

  • Coordinate job schedules, upcoming concrete pours, and daily movements with clients, suppliers, and site managers. 

  • Review plans and purchase orders to ensure requirements are accurate, complete, and aligned with job needs. 

  • Prepare job site information packs and supporting documentation for site teams. 

  • Generate, track, and reconcile purchase orders using Xero, Microsoft Teams, and Excel. 

  • Assist Construction and Site Managers with project tracking, job progression updates, and general administrative support. 

  • Help monitor daily crew allocations and maintain accurate records to support timesheet processing. 

  • Maintain organised digital and paper records, ensuring documentation is easy to access and up to date. 

Skills and Experience 

  • Previous experience in construction, trades, or project administration is preferred. 

  • Ability to read plans and understand purchase order requirements is highly regarded. 

  • Strong working knowledge of Xero, Microsoft Outlook, Microsoft Teams, and Microsoft Excel. 

  • Excellent organisational skills and the ability to manage multiple priorities in a fast-paced environment. 

  • Clear written and verbal communication skills with a professional approach to clients, suppliers, and internal teams. 

  • Reliable, punctual, and capable of maintaining a consistent early start. 

  • Ability to work independently while also collaborating effectively with the broader team.
