🧩 Key Responsibilities - Allied Health Assistant Level 4

· Program Execution: Guiding clients through structured, prescribed exercise and stretching routines.

· Safety & Motivation: Providing in-clinic support so clients feel safe and encouraged while moving.

· Setup & Maintenance: Preparing therapy spaces, organising gym equipment, and cleaning up after sessions.

· Admin & Reporting: Documenting patient progress, reporting any changes directly to the AEP, and helping with scheduling

🧩 Key Responsibilities – Administration & AHA level 4

  • Be the first point of contact for clients and visitors – in-person and over the phone

  • Manage incoming calls, emails, voicemails, and appointment scheduling

  • Maintain a clean and welcoming front-of-house, reception, and kitchenette

  • Support allied health professionals with administrative tasks including invoicing, data entry, filing, scanning, photocopying, and managing client files

  • Prepare appointment reminder messages and reschedule appointments as needed

  • Assist in marketing efforts such as basic social media and content tasks (desirable)

  • Ensure reception and clinical areas remain tidy and stocked throughout the day

  • Open and manage our clinic software, emails, calendars, bookings, referrals and waitlists

  • General admin tasks including managing bookings, cancellations, re-bookings, and gym sign-in sheets

  • Basic cleaning duties including vacuuming, dusting, and wiping down equipment and surfaces, washing dishes

🧠 Essential Skills & Qualifications - Administration and AHA

  • TAFE Certificate 4 in Allied Health Assistance (for AHA role)

  • Proven experience in reception/admin, ideally in a medical or health-related setting

  • Excellent written, literacy, verbal communication and interpersonal skills

  • Professional, compassionate, and friendly approach to clients and colleagues

  • Strong computer literacy – Medical Practice Software, Microsoft Office (Word, Excel, Outlook)

  • Highly organised with strong time-management and multitasking abilities

  • First Aid and CPR Certificate - Current

  • Working with Children/Bluecard - Current

  • Police Check Certificate - Current

    • Police Check Certificate must be obtained within the last 12 months

  • High level of confidentiality and discretion

  • Be an Australian Citizen

  • Non-citizens with Australian work rights will be considered on a case-by-case basis

🌱 Desirable Skills & Experience

  • Experience with medical admin/reception systems (Splose highly regarded)

  • Familiarity with Medicare, NDIS, Workcover, DVA, Private Health, and Insurance billing

  • Experience in the Australian Health System

  • Understanding of funding guidelines for allied health clients
